Job Opportunity: Finance Manager, Website Developer, and Graphic Designer @ UP Asian Center (June - December 2024)
The Asian Center, University of the Philippines Diliman is looking for one (1) conference finance manager, one (1) website developer, and one (1) graphic designer with limited engagement. The deadline for applications is EXTENDED to 24 June 2024. This is open to the public.
OVERVIEW AND WORK HOURS
• The finance manager shall assist the organizing committee of the 2024 International Conference on Philippines Studies.
• The website developer and graphic designer shall assist the Research and Publications Office in conducting institutional events and activities.
• Working hours shall be flexible and output-based. Physical reporting to the office depends on the necessity/demand of the work.
DUTIES, RESPONSIBILITIES, AND ELIGIBILITY
CONFERENCE FINANCE MANAGER
Limited Engagement: August to December 2024
1. Manage the conference budget and expenses and ensure that all transactions are properly allotted budget and documented.
2. Coordinate with the conference committee to establish payment policies and methods.
3. Coordinate with the website developer to ensure secure and easy online registration and payment systems.
4. Process and document payments and refunds properly
5. Prepare and distribute invoices and receipts for conference registration and sponsorship fees.
6. Manage, coordinate, and monitor conference sponsorships and exhibitors including required fees
7. Provide regular updates and reports regarding the status of the conference finances.
8. Conduct post-conference evaluations and reports on the conference finances.
9. Maintain accurate and up-to-date records of all conference-related financial activities.
10. Perform other duties as assigned by the supervisor.
Eligibility:
• AB or BS Degree relevant to the nature of work
• No experience or training required
• Ability to work with minimal supervision
• Experience in handling events, budgets, and logistics is an advantage
• Background in processing government financial transactions/disbursements is an advantage
WEBSITE DEVELOPER
Limited Engagement: June to November 2024
1. Design and develop a conference website that is visually appealing and user-friendly.
2. Plan, create, and publish website content related to the conference.
3. Manage conference registration and payment systems.
4. Monitor, evaluate, and provide solutions for issues involving website traffic, performance, and user engagement.
5. Collaborate and coordinate with the organizing committee regarding website content.
6. Maintain security of the website and ensure compliance with data privacy regulations.
7. Troubleshoot technical issues and coordinate with IT support as needed.
8. Manage website hosting and domain registration.
9. Perform other duties as assigned by the supervisor.
Eligibility:
• AB or BS Degree relevant to the nature of work (e.g. Computer Science, Computer Engineering, Information Technology, Computer Programming, Multimedia Arts, etc.) or equivalent
• Ability to work with minimal supervision
• Experience in creating websites using WordPress, Wix, or other CMS
• Able to provide a portfolio of their previous websites developed
GRAPHIC DESIGNER
Limited Engagement: July to November 2024
1. Prepare, edit, and design graphics, photos, collaterals (posters, brochures, packaging, handouts, etc.), and other materials used for the promotion and publicity of the conference.
2. Prepare, edit, and design graphics, photos, collaterals, and other relevant conference paraphernalia (e.g. lanyards, IDs, book of abstracts cover, etc.).
3. Prepare related online graphics for the conference (e.g. social media post backgrounds, website elements, and materials, infographics, PowerPoint slide design, virtual background, etc.).
4. Assist in the documentation, editing, and curation of photos related to the conference.
5. Coordinate with the conference secretariat regarding design needs.
6. Perform other duties as assigned by the supervisor.
Eligibility:
• Bachelor’s/College Degree in Advertising/Media/Art/Design/Creative Multimedia or equivalent
• Knowledge of graphic design for various media (print and online, etc.)
• Knowledgeable in using Photo editing software and other related programs and applications (e.g. Adobe Creative Suites, Canva, Affinity Designer, Inkscape, Sketch, etc.)
• With excellent written and verbal communication skills.
